Repath Designs and Implements a Digital Transformation Solution for H&R Pure Water Ltd.

Pure Water Ltd.

H&R Pure Water Ltd, an authorised distributor of the well known water dispensers, “WaterLogic was seeking a technological solution that would enable the company to:

  • Automate the monthly recurring invoices
  • Integrate online payments so that the customers have the opportunity to pay instantly their duties.
  • Identify the payments that have been made through bank deposit and associate them with customers.
  • Send automated reminders to those that had not fulfill their payments.
  • Create a common platform with the customers that will enable the latter to have access to the historical invoices, contracts as well as the onsite visits that had been made by the technical team of Pure Water
  • Monitor the daily tasks that are operated by the technical staff in the network of over 400 companies and households that use the “Water Logic” dispensers.
  • Identify the dispensers that produce the most problems and report them to the manufacturers instantly.
Pure Water trusted the Zoho Authorised Partner “Repath” to address the above issues by using and actually unleashing the power of Zoho. This diversified set of tasks was implemented with the use of Zoho One, an operating system that combines automations in the fields of accounting, finance, marketing, customer support, operations and reporting.

More specifically Repath used the following applications to offer the most efficient solution to the needs of H&R Pure Water Ltd:

Zoho Books

is an online accounting software, super easy and user friendly. With Zoho Books, we managed the contracts, invoices and subscriptions of all the customers. By setting up workflows, we created automated emails or sms to remind customers to pay outstanding invoices and fulfill their obligations.

Zoho Survey

It is indeed a nightmare to monitor your technical staff in daily routine tasks and operations. Though Zoho Survey, we gave the opportunity to the technicians to easily report their visits to the customers and to mention the problems on specific devices. The Zoho Survey was also extremely helpful for the customers as they kept a record of the technicians’ visit through a document that it was signed by them as well. Moreover, technicians reported errors and malfunctions in specific devices and therefore the company could track on aggregate which devices produced most of the errors.

Zoho CRM

The epitome of the whole project. We consolidated all the data of the customers into one easy-to-access location. H&R Pure Water Ltd has now immediate access to the necessary information such as outstanding payments, onsite visits, contact details, email and SMS history. We gave the opportunity to our client to easily track, analyze and segment customer’s data at any time.

Zapier Integration

Many of the customers paid their subscriptions through bank deposits and standing orders. However, it was extremely time consuming for our client to check monthly bank statements and correlate deposits with invoices. Using Zapier, we synchronized the transactions that were generated by the associated banks with the respective invoices and therefore the CRM record was updated with the last payment status.

Payment Gateway

We integrated Zoho with a well known payment gateway and therefore customers had the option to pay instantly through a link that was included in the invoice.

Customer Portal

Imagine how much time do you spend on a regular basis with clients who are seeking to retrieve past invoices, contracts and documents. With the power of customer portal every single information about the company’s customers is now stored in one easy-to-access portal both for the company and the customers.

Automatically send out recurring invoices to the customers’ database. For a database of 500 recurring customers, Zoho Books can save up to 10 minutes per invoice.

Zoho Books/Email Reminders

Through Zoho Books you can send out email reminders to those who have not paid the outstanding amounts.
Assume that 30% of invoices are overdue. By setting up automatic reminders you can save up to (30% X 500 customers=150 X 10 minutes per month= 1.500 minutes/25 hours per month

Zoho Books/Zapier Integration

Customers are using a variety of methods (online payments, bank deposits) to pay their invoices. Very often, companies spend significant time to match payments with invoices. We use Zapier to match bank deposits with invoices and stripe to associate online payments.
5 minutes X 500 deposits= 2.500 minutes/41 hours/month

Customer Portal

Customers have access to documents such as past invoices, contracts and many other files that have been issues and shared with the company. Therefore, the company that uses Customer Portal saves time from retrieving and sending out files.

Zoho CRM

Customer Interactions (emails, sms, calls), past invoices and any other documentation are recorded to the client record. Therefore, the company has full access to historical data saving time from searching and retrieving documents from many different sources.

Aggregating the data from the onsite visits and possible errors that occur, companies can enhance the quality of their services as well as internal communication and reporting
